Project Management (WP7)

Summary

section added: Sept. 18, 2021

This WP is basically about you and your supervisors being able to keep track of your progress, communicate about your project, and pace things well.
I thought I could meet with the supervisor of my active phase (outgoing/incoming) once a week, and once a month with the supervisor of the passive phase, but I'm not sure how feasible that will be, we shall see. My hope is that I can set up a system where my supervisors and blog enthusiasts :) can read what I'm doing real-time, and most things basically just becomes public once they're generated. That way, I don't actually need to debrief the supervisor at our meeting, he can see our progress real-time, and we can proceed to discussing more urgent things.
I also thought of submitting formal progress reports to the Host departments once, at the end of the outgoing phase. This report will also be submitted to the EU through the portal. Furthermore, I will hold a work-in-progress presentation at Host departments in months 6, 13, 23, 25, 28, and 34 (a total of 6 in 3 years).
I promised a weekly blog update. OSF and Gitlab will be updated on a rolling basis.
Associated tasks: The most important step right now is to set up a forum where my progress can be monitored real-time and direct my supervisors to it. Also, part of project management is what will come out of this WP-oriented series of descriptions: a timeline for tasks and activities. I hope to be able to check things off there. And color-code stuff. Color-coding is highly effective :) Oew, perhaps a giant Excel with tabs for each WP? Or an Asana project? But can that be made public? Further down the line I need to set up dates for the work-in-progress talks and find a template for the formal progress report. I also need to check how to submit deliverables to the EU portal.

Keeping Track

section added: Sept. 28, 2021

I wanted a master file with all my tasks, subtasks, and deadlines so that I could see what I need to do, the progress I am making, and so that my supervisors would also be able to easily understand where I am in the project. I created an Excel for now. Color-coded. Very important. It's totally rudimentary now, but will be populating it as I go along.

Knowledge Integration: Consultations

section added: Oct. 3, 2021

When I talk to people who lend me insight on professional matters, especially if the meeting is formalized, I find it useful to make a note of the things we talked about. Notes from conversations / consultations about this projected are available here.

Periodic Reporting

section added: Nov. 6, 2023

For global fellows, two reports must be written. The first one is at the end of the outgoing phase, the second, final report is when the grant period is over.
You can read my public summary here
And my technical report here
If you'd like to see the instructions for the technical report, I have posted it here.
